Did you know that you can choose what program on your computer to use when you're working on specific types of files?

For example, recently there was a Windows update on my laptop. In the process, I must have checked (or unchecked) a box so that now Microsoft Edge is the default program that is used to display a PDF when I open one. I prefer to use Chrome, so how do I change it back?

Or here's another example. I want to open a .jpeg image to edit. But when I try to view it on my computer, my default edit app (SnagIt) does not open. Instead, Windows Photos is triggered. All the other image types (.jpg, .gif, .png) open in SnagIt, so I need to tell Windows to use SnagIt for .jpeg files as well.

We know that depending on the type of file, there's a default app that is triggered when you click on the document. But if it's not the one you prefer, let's look at how you can change it.



How to Change the Default App

You can change the default app by either:

1.  Type of Activity - such as what you want to use to view or open Email, Photos, Music and so on.
2.  File Types - because you can drill down within the app association list and select by the specific type of file.

To get to either of these options, first:

*     Either type "default apps" or "associate" in the search box in the lower-left corner of your tool bar and select the feature from the list of choices.

*     Or click the Windows icon in the lower-left corner and select the Settings icon, then from the list, choose Apps.



Change Default Apps by Program/Activity

You can change the program that opens for several main category types of files:
*     Email
*     Maps
*     Music
*     Photos
*     Video
*     Web browser

To make a change to any of these, from the Default Apps screen:

*     Click on the type of activity you want to change.
*     From the choices that open in the Choose an app list, select the one that you want to use.
*     If there's an app that does not show in the list, you can select the Look for an app in the Microsoft Store for more choices.
*     For example, in the image below, Snagit Editor is chosen as the default program to open image files.

Change the Default App by File Type

Since you use many types of programs on your computer, you may need to individually associate an app with a file type manually.

For instance, if we want to change the program that is used to view a PDF:

*     From the Default Apps screen, scroll down and click on the text that says Choose default apps by file type.
*     From the list of types of file extensions, find the one that you want, click on it and select the preferred app.
*     In this case, we want to view PDF's using Google Chrome (instead of Edge).

Help! The App Isn't a Choice for My File Type

There may be cases that when you click on a particular file type, the app you want to use is not in the list. What do you do? Don't worry, there's a workaround.

Let's use the image ".jpeg" file type in our example. The program we want to select, Snagit, is not one of the choices when we look by file type. So when the choice you see is not showing in the list:

*     Open your File Explorer, then right-click on a.jpeg file.
*     From the menu, select Open with, then click Choose another app.

*     Select the application you want to set as the new default (you may need to click the More apps link to see all the possibilities).
*     TIP: Be sure to check the box next to Always use this app to open... files.
*     Click OK.

Now, any file with that extension name will now open with your chosen app.

Communications: Talking
Flip the negative to positive

I was waiting in a short line the other day and rather quickly moved to the front. I was, therefore, surprised to hear, "I'm sorry you had to wait so long."

I didn't argue the point, nor did I counter with it wasn't very long, but I thought how unfortunate that this person felt obliged to interject a tiny bit of negativity into the moment. It wasn't necessary. It made me feel bad.

There's a better way!

If you want to convey to someone who has had to wait for even a small amount of time, that you appreciate it, do that instead. Say something like:

"Thank you for being so patient."

Now that phrase makes me feel good. It's positive! It conveys the message that the organization values my time and prefer that I had no waiting at all. And it doesn't position the thought in a negative way. It's flipped to the positive side.

You can do that too! Watch for ways to flip your "negative" statements to the positive. It will make them feel good ... and you too!

Meeting Roles: Scribe

In an earlier article, we started a mini-series on how to make your meetings more productive and enjoyable ... less contention. If you have assigned meeting roles, and the person does their job, you can stay on target and get good ideas on the table.

The standard responsibilities are:
1.  Facilitator - Ensures the discussion is on target, following the plan.
2.  Timekeeper - Keeps the group adhering to the time parameters they've set.
3.  Scribe/Note Taker - Documents the key decisions.
4.  Presenter - Speaks to the group about the topic content.

This time we're going to expand on the important role of Scribe or Note Taker.

No, the job of this individual is not to write down everything people say! It's much easier and more beneficial later when you want to share with others what has gone on in the meeting.

Yes, what the Scribe is to do, is to write down major decisions, key points. What agreements have been made. Perhaps it's, "Tisha will development a graphic for the upcoming event." Maybe it's about a decision to put off hiring a replacement for a particular slot.

Basically, it's one page with agreements and decisions. That way, you can use these notes in several ways:

*     Type them up and distribute them to those who came (for the record) and those who were unable to make that meeting (so they are in the loop).

*     Refer to them when the facts are unclear as to what has been decided.

Here are phrases you might hear from a Scribe:
*     "Could you shorten that please?"
*     "What specifically did you decide?"
*     "I'll get these out in three days."
