[Answerland-summit] Hotel quotes -- and a challenge

Ok, I think it makes sense to block some rooms at the Fairfield since it seems to be the best rate. We did 25 last year. Does anyone recall if they all got booked?
I chatted with Michelle Burke and she said that ILAGO usually does social event the Friday before the conference, where they just reserve space at a pub and do a no host bar.
She thought that doing a shared social event would be a fun idea. If we did that, we wouldn’t need to worry about budgeting anything for the social event.
Terra, I know you signed up to plan the social event this year so let me know if you have any ideas about this.

ILAGO isn't planning to block rooms; they haven't done it in the past. (According to Pam Kessinger.) I think they will let members know that rooms may be at a premium due to the track and field championships. There are lots of hotels; I selected three that were nearest LCC and seemed likely to set reasonable block rates.
A social event would be nice, but maybe not necessary?
Let me know how we want to proceed,
Robin

Thanks Joanna, this list also has more hotel options listed!
Do we know if ILAGO is blocking rooms anywhere?

I don't have anything new to add to the block of rooms predicament, but if we want a roommate/carpooling forum of some sort, I can figure something out in the website.
Eugene government has a nice list of Public Meeting & Event Rooms<https://www.eugene-or.gov/DocumentCenter/View/2645/Public-Meeting-and-Event-Rooms-In-Eugene?bidId=> in the area; it might help us find a social event space. (Caveat: The list was last updated in 2017.)

If we choose not to block rooms, we probably should let people know that there's a major high school track and field championship on the same day in Eugene, and that it's a good idea to reserve early. A block of rooms provides a bit of a discount, especially at the Fairfield Inn and Suites -- with all the high school athletes in town, there may not be a lot of discounts available.

HI Robin,
Thanks for reaching out to the hotels. Do we necessarily have to block rooms? It made sense in Corvallis because the hotel was a block from the where the summit was held. But that won’t be the case this year. I’m wondering if we could just list the hotel options and let folks book what they want? I’m also wondering if there is some sort of widget or comment board we could add so people could potentially roommate up with others attending the summit?
I don’t think we need to hold the social event in a hotel necessarily either.
Sue, since you’re our Eugene correspondent…I’m wondering if you have any ideas for alternate spaces for a social event?
What to do others think?

Hi all!
I asked for quotes from three hotels near Lane Community College, and I was a bit surprised by the rates offered -- but it seems the state high school track and field championships will be happening at the very same time, in Eugene. Hotels may be more of a challenge than usual.
I asked for quotes for 20-25 rooms, mix of single and double, for 5/28 and said we'd expect some guests to stay an additional night for another library conference on 5/30. I also asked about a availability of a meeting room and about parking. Nobody answered the parking question.
Comfort Inn and Suites<https://www.choicehotels.com/oregon/eugene/comfort-suites-hotels/or163/rates?adults=2&checkInDate=2020-01-23&checkOutDate=2020-01-24&gpa=GPADRACK&mc=HAGOHPPXCS&meta=PMFGPADCSRACK_OR163_mapresults_US_1_desktop_2020-01-23_default_6721145021__standard__6721145021__standard_&pmf=hpagoogle&product=mapresults>, about 3.9 miles / 9 minutes from LCC, has acknowledged my inquiry but not yet sent a quote.
Candlewood Suites Eugene Springfield<https://www.candlewoodsuites.com/hotels/us/en/find-hotels/hotel/rates?qDest=3005%20Franklin%20Boulevard,%20Eugene,%20OR,%20US&qCiMy=02020&qCiD=23&qCoMy=02020&qCoD=24&qAdlt=2&qChld=0&qRms=1&qRtP=6CBARC&qIta=99618783&qSlH=EUGCW&qSlRc=K1KN&qAkamaiCC=US&qSrt=sBR&qBrs=re.ic.in.vn.cp.vx.hi.ex.rs.cv.sb.cw.ma.ul.ki.va.ii.&qAAR=6CBARC&qWch=0&qSmP=1&cm_mmc=hpa_US_desktop_EUGCW_mapresults_1_USD_2020-01-23_default_2087723216__false&setPMCookies=true&glat=META_hpa_US_desktop_EUGCW_mapresults_1_USD_2020-01-23_default_2087723216__false&qRad=30&qRdU=mi&srb_u=1&qSHBrC=CW&icdv=99618783>, about 4.5 miles / 10 minutes from LCC, has limited availability and can offer us rooms for $220/night.
Fairfield Inn and Suites<https://www.marriott.com/hotels/travel/eugfi-fairfield-inn-and-suites-eugene-east-springfield/>, about 4.6 miles / 11 minutes from LCC, offers us a group block at $189/night. They also offer a boardroom that holds 15 people for a meeting/social, at $175 for less than 5 hours.
There's also a Motel 6 near the Comfort Inn and Suites; I haven't contacted them. Due to the track and field event, rates are much higher than usual. I'm not sure what we want to do from here -- what do you think?
