I'll contact the people who submitted proposals.
Can we hold off until Friday afternoon on making an official announcement? I'd like to make sure that the submitters hear first.

Ok, I agree with everyone that cancelling is the right thing to do. I will contact the coordinator at LCC, and Joanna I will cc you since the refund will need to come back to you.
Does anyone want to come up with a “cancellation graphic” and language that we can send out to everywhere we have previously communicated about the summit?

I agree with cancelling, and like Joanna’s idea of keeping ourselves open to the idea of offering it virtually at a later point in time.
Also, I checked on the LSTA funds, and yes, we can have the funds rolled over to next year.

I feel very strongly that we should cancel.
We have absolutely no reason to believe that things will be “back to normal” by the time the summit is scheduled for. In fact, with as fast as things are happening, we should assume that things won’t be.
But more frankly: we need to be responsible and not knowingly facilitate an event and environment that WILL put people’s health, and possibly lives, at risk. To do anything else in the face of a global pandemic is, in my opinion, morally indefensible.
I would rather look back at this moment in time and realize that we did more than we needed to in order to keep people safe than to look back and know that we could have done more but chose not to.
Have a great day!

I also lean towards cancelling.
Given that LCC is moving all of their classes online for Spring Term, it seems possible that we can get a full refund.
If we publicly announce a cancellation, we can mention that we are considering the feasibility of doing an online conference later in the year. That gives the committee the opportunity to take a breath before we even look into the possibility.
Best,

Hi Natalie,
I agree that it might be difficult to get folks to register at this time. Now that we’re starting to hear 8 weeks or more for schools etc, that could affect us even in May.
Will the money transfer over to next year? We could use cancelling as a good way to make next year better.
I’m also a little torn on this but I lean towards cancelling, just to be safe and avoid spending time and money if things are still dicey then.
Hope you all are safe and healthy!

Hi all,
As I’m sure you’ve now seen, OLA has been cancelled. ☹
I know the Reference Summit isn’t until a month later…I’m really struggling with what we should do.
So, my wonderful planning team, can everyone let me know what they think we should do?
I’m afraid that even if we tried not to cancel, that people will still be to skittish to come.
There is also the possibility of trying to make it a virtual conference…but that sounds somewhat overwhelming to me right now.
I hope everyone is holding up ok.

We have not notified any speakers. The goal was to do so on Monday.
I agree with Lori that we should wait for OLA's decision.

Hi all,
So, it sounds like ILAGO is cancelling their summit. And it also sounds like OLA is very strongly considering cancelling at this point. Some of you may have more information on this than me.
But, it’s sounding like it’s a very real possibility that we shouldn’t be asking people to travel and gather. Joanna and Tamara, have you notified any of the speakers yet?
I’d love to hear all your thoughts.

An update, because I managed to misread Tamara's (very clear) draft email: We are NOT asking the presenters to register for the conference. The question is whether we mention that the scholarship might be available for travel costs.
Very embarrassed,

Would seem this is the right thing to do. Is there concern that presenters will unfairly have “first dibs” at limited scholarships (over other attendees)? Just wondering what (if any) the negatives are by mentioning it to them in the initial email…

Hi team,
Tamara and I wanted to run something by the group before we email the presenters. Since we are asking them to register for the conference (and probably travel), should we mention in the initial email that they can apply for a scholarship if payment is a hardship?
Thanks,
