I find the reconciliation of shipments with invoices very time consuming and I end up talking to them every month for 30 minutes or more while they try to find the particular invoice(s) I am looking for (and I have already looked for the invoice(s) myself by this time). We are in a beta test program with Amazon for a new business invoicing system. We will start as soon as the City Manager signs the contract. I am hoping this will make reconciliation much simpler. We order all of our DVDs through Amazon due to their extensive catalog and low price. However, Ingram's invoicing is much better organized and easier to reconcile. I only purchase books from Amazon that I cannot find on Ingram.<br></div><div aria-label="Compose body"><br></div><div aria-label="Compose body">Terri Washburn in La Grande<br></div><div><br></div><hr id="zwchr"><div style="color:#000;font-weight:normal;font-style:normal;text-decoration:none;font-family:Helvetica,Arial,sans-serif;font-size:12pt;" data-mce-style="color: #000; font-weight: normal; font-style: normal; text-decoration: none; font-family: Helvetica,Arial,sans-serif; font-size: 12pt;"><b>From: </b>libs-or-request@listsmart.osl.state.or.us<br><b>To: </b>libs-or@listsmart.osl.state.or.us<br><b>Sent: </b>Wednesday, December 23, 2015 12:01:18 PM<br><b>Subject: </b>Libs-Or Digest, Vol 154, Issue 24<br><div><br></div>Send Libs-Or mailing list submissions to<br> libs-or@listsmart.osl.state.or.us<br><div><br></div>To subscribe or unsubscribe via the World Wide Web, visit<br> http://listsmart.osl.state.or.us/mailman/listinfo/libs-or<br>or, via email, send a message with subject or body 'help' to<br> libs-or-request@listsmart.osl.state.or.us<br><div><br></div>You can reach the person managing the list at<br> libs-or-owner@listsmart.osl.state.or.us<br><div><br></div>When replying, please edit your Subject line so it is more specific<br>than "Re: Contents of Libs-Or digest..."<br><div><br></div><br>You can examine full text of list messages in the relevant month's archive at:<br><div><br></div>http://listsmart.osl.state.or.us/pipermail/libs-or/<br><div><br></div>Today's Topics:<br><div><br></div> 1. Every time we challenge this discrepancy the outsourcing bank that handles Amazon billing claims it is okay even though we are paying twice. (This bank also never sees the actual invoices - they are handled by a machine). So we often pay double on some invoices. Also, the amount we pay each month (total amount due on the bill) never matches the amount we mark off as paying for the invoices ? we are typically overpaying at least $30-80 each month. These two items SHOULD match and we have never gotten a satisfactory explanation from Amazon. This is something I am not comfortable with as we are using public funds which is why we are decreasing the amount of spe<br> nding we do with Amazon. ?So, you may want to just double check those statements against what you actually pay. Like I said, maybe our library is the only one they are trying to rip off. I was the Acquisitions Coordinator at Tigard Public Library for many years and found Midwest to have a great selection, excellent customer service, and the ability to order titles well in advance of release date. They have an easy to use website for selection and ordering, as well as great print catalogs. Their discount may vary based on quantity ordered?at Tigard, we got about 25% discount on DVDs; other libraries get around 20%.<br><div><br></div>For titles that I couldn?t get through Midwest Tape, I did use Amazon with a City purchasing card.<br><div><br></div>Amy Emery<br>ILS Librarian<br>Washington County Cooperative Library Services<br>111 NE Lincoln St., Suite 230-L, MS58<br>Hillsboro, Oregon 97124<br>amye@wccls.org<mailto:amye@wccls.org><br>503.846.3229<br><div><br></div>From: Libs-Or [mailto:libs-or-bounces@listsmart.osl.state.or.us] On Behalf Of Holly Hertel<br>Sent: Wednesday, December 23, 2015 11:02 AM<br>To: Carol Dinges; Kirsten Brodbeck-Kenney; buzzy@hoodriverlibrary.org; libs-or@listsmart.osl.state.or.us<br>Subject: Re: [Libs-Or] DVD purchases<br><div><br></div>I can't speak to the billing side of things because I just select dvds, but we use Midwest Tapes and they have a great selection and also discount each item. No matching receipts, etc. The only challenging thing we've found is doing POs. We don't really use PO numbers, but we use them as ways t reflect from which line item certain expenditures are taken. Amazon doesn't have an obvious place to insert a PO; you have to click like you're changing your payment method and only then can you insert one. Once we figured out that hurdle, though, it's not bad.
