Dear Business Managers, Superintendents and Benefits Administrators:

I'd like to make you aware of a few OEBB communication tools and samples now available:

1)     The 2015-16 New Hire Enrollment Guide is now available on the Entity Resources<http://www.oregon.gov/oha/OEBB/Pages/Entity-Resources.aspx> page of the OEBB website:

These booklets are similar to the Open Enrollment Guide booklets, but are specifically designed for employees who become benefits-eligible outside of the Open Enrollment period. You are not obligated to use these, they are just available for your use if you find them helpful. OEBB will not be distributing these booklets directly to members.

We have printed a limited supply of the complete "All Plans" booklet - you can request copies by sending an email to oebb.benefits at oregon.gov<mailto:oebb.benefits at oregon.gov>. The webpage also contains links to customizable PDFs so you can tailor your booklets specifically to your employees and either provide a link to it in an email or on your website, or you can print them (in full or just the pages you want) if you prefer to give your employees hard copies. Complete details are available on the Entity Resources<http://www.oregon.gov/oha/OEBB/Pages/Entity-Resources.aspx> webpage.

2)     Health Assessment Reminder Email - Attached please find a copy of an email OEBB sent out this afternoon to members who are enrolled in a Healthy Futures medical plan, but as of August 31 they had not yet completed their health assessment requirement. This could mean that the subscriber, their covered spouse/partner, or both, still needed to complete their health assessment as of August 31st. Note that if the health assessment was completed AFTER August 31st, they are instructed to disregard the message. (I apologize for not giving you notice of this email prior to its distribution - given the quickly approaching deadline, I wanted to get it to members without delay and afford them the most time possible to complete their health assessment.)

3)     Post Open Enrollment Cover Letter<http://www.oregon.gov/oha/OEBB/Communications/2015-PostOE-Cover-Letter.pdf> - Post Open Enrollment Benefit Summaries were mailed to all members last week (postmarked Sept. 29 - Oct. 1) and this letter accompanied those summaries. The letter includes a link to this year's required notices as well as encouraging members to review their benefits summary and report any errors to you no later than October 16. As we have mentioned before, OEBB supports each entity's policy as to whether to allow changes/corrections during this time, but we encourage you to assist members if you can, particularly those who may be without coverage otherwise.

A link to this letter is also available on the Entity Resources<http://www.oregon.gov/oha/OEBB/Pages/Entity-Resources.aspx> webpage, in the "OEBB's 2015 Open Enrollment Communications" section. Note that the data was pulled for this mailing in batches. For entities whose Open Enrollment ended Sept. 15th or earlier, the data for this mailing was pulled Sept. 17th. For entities whose Open Enrollment ended Sept. 25th, the data was pulled Sept. 28th. A member's benefit summary may no longer match what you see in the MyOEBB system if changes have been made since the date of the data pull.

4)     12-Month Wait Notification Letter<https://www.oregon.gov/oha/OEBB/Communications/2015-12-Month-Wait-Letter.pdf> - This letter will be mailed to members to notify them if they and/or any of their covered dependents are subject to the 12-Month Waiting Period on their dental or vision coverage. The data for this mailing was pulled from MyOEBB on Sept. 28th, and letters are expected to go out this week. A copy of this letter is also available on the Entity Resources<http://www.oregon.gov/oha/OEBB/Pages/Entity-Resources.aspx> webpage.
