From nicole.m.brazeal at state.or.us Tue Apr 22 15:55:08 2014 From: nicole.m.brazeal at state.or.us (BRAZEAL Nicole M * EGS) Date: Tue, 22 Apr 2014 22:55:08 +0000 Subject: [Oac-link] Handouts and Info from 4/16 OAC Meeting Message-ID: Hi OAC Group, Here are the handouts and information from our last meeting. - The first attachment is the process for fixing an error message that some users get when trying to log into ORPIN. It should only occur if they've had a recent browser or anti-virus update, but it is still a good thing to have on hand in case anyone runs into it. (It also helps with popup blocker issues!) - The second attachment describes our new feature allowing buyers to look for the awarded supplier's MWESB certified commodities while creating an award. Agencies who participate in Aspirational Target Reporting should pay special attention to this one!! - The third attachment is just a quick breakdown of the old DAS (SPO) forwarding account names and what they've been changed to. The other things we talked about (that I don't have handouts for) were: - Other items addressed in our last system patch o We simplified the 'Organization Search' option for looking up Preliminary Results, Intent to Award, Evaluations, etc. o We fixed a bug that occurred during document creation. Now if you check the box for "Make other addresses the same as this address" it should actually work! o Emails that go out to suppliers when an opportunity is withdrawn will now show up in the "Email Log" on the opportunity's menu bar. o We fixed a bug on the outgoing system emails that prevented some suppliers from clicking on the "Login to ORPIN" link straight from the email itself. o We fixed a bug preventing agency browsers (Small Purchasers) from accessing Notice Specific Information folders such as Preliminary Results, Intent to Award, etc. They are now all turned on for the browsers to view. o E-Bid keyword reset emails will now go out to suppliers as soon as they request them. (They used to take up to five minutes to go out.) We've also added more places within the system for the supplier to update their keyword once they receive it. o We added a warning to the "Email Notices" function on an opportunity. Now if a buyer clicks on "Email Notices" without uploading anything into these folders, it will prevent you from sending out a blank notice and will tell you that there are no attachments to send out. [cid:image002.jpg at 01CF5E43.3C8C2130] - A few of the agencies had specific settings on their accounts that override the system setting for contract expiration notices. These agencies included OPRD, DHS, OYA, and DOR. All other agencies inherit the system setting to notify the contract administrator 180 days prior to the contract's expiration date. Please let me know if you have any questions! Message-ID: Hello OAC's, We could really use your input on the following issue: You may not have noticed it before, but there is a special folder under the "Additional" menu option on opportunities called "Privileged Attachments". Any attachments posted in this folder are not available for suppliers to view- they are only available to internal agency users. This often causes unnecessary confusion for both the buyers and the suppliers. If the buyers accidentally posted an attachment here that was meant for suppliers to see, the suppliers won't be able to find it and the buyer will have to do an addenda to the opportunity to put the attachment in the right place. [cid:image004.jpg at 01CF5FDC.0CACD190] To address this, we are considering turning off (hiding) the "Privileged Attachments" folder for everyone. Before we do this, we want to check with all of you first. Can anyone think of a legitimate use for this folder? Are there any agencies using this now? Thank you in advance for any information you can share with us! :) Have a great evening.
