From Nicole.M.BRAZEAL at oregon.gov Tue Sep 30 10:25:16 2014 From: Nicole.M.BRAZEAL at oregon.gov (BRAZEAL Nicole M * DAS) Date: Tue, 30 Sep 2014 17:25:16 +0000 Subject: [Oac-link] Questions and Answers from Past OAC Meetings Message-ID: <19D51BE3352A1742B52BC0258AB4B07462375F97@WPORGEXCL01.ENTSS.OR.GOV> Good Morning OAC's, I was going through past meeting notes and found a couple of questions that I don't think I've responded to yet. Here are the questions and my responses. 1. When we were talking about allowing electronic bidding on RFPs, someone asked which users can see the bids. Here is the breakdown of which roles in ORPIN can access the Progression screen, which means that they can also access electronic bids. Keep this in mind if you are considering allowing eBids on a multi-step RFP. If your evaluation team has any of these roles, they would be able to see the eBid, including pricing, as soon as the opportunity has closed. A solution that some buyers have used is to direct suppliers to exclude pricing from the original bid, and then perform a second round of bids later to ask for pricing. User roles that can access the Progression screen: * Administrator (ORPIN Help Desk) * UPO (DAS Procurement Services Analysts) * Delegated Buyer * Delegated Buyer (Non DAS Authority) * DPO * OAC * ORS190 * Small Purchaser (Agent) User roles that cannot access the Progression screen: * ORCPP roles * Supplier roles * Anonymous Browser (no login) 2. A question came up about what types of documents can be attached in ORPIN. Here is the current list of acceptable upload file types. If there is a file type that you need to upload and it is NOT included in the list below, please email the ORPIN Help Desk at info.orpin at oregon.gov. We will research the request and determine whether the new file type can be added. If it can, it is a quick fix for us to get it on the list. * txt * doc * xls * xml * pdf * gif * jpg * png * bmp * dwg * dwf * tif * tiff * ppt * xlsx * csv * mpp * docx 3. Someone asked to see copies of the disclaimers in ORPIN. I've attached all of the privacy statements, disclaimers, and agreements in the system. (Copy/paste doesn't really work too well out of ORPIN, so I had to capture the language using screenshots. This makes it broken up onto multiple pages, but the language is all there.) 4. We had a request to add 'Project' to the Unit of Measure (UOM) dropdown. I am following up to see if SFMS can accept this UOM. If it can, I should be able to add it to ORPIN. (I also have a note that DOC might be interested in adding 'Serving' as a UOM choice. Bonnie/Craig- would you like me to pursue this as well?) Please let me know if you would like any further clarification. Have a great week!
