Thanks a lot to all who were able to attend our last meeting. We provided quite a bit of information in that short meeting and received some great questions regarding OregonBuys, so I wanted to follow-up with some additional details for those who couldn't make it (along with some answers for those who did). Here's what we discussed: * Invalid Email Cleanup is Underway! o A new tool will be installed in Production today (10/18) after 5pm that will allow us to scrub invalid emails from the ORPIN system o This tool only expires the matching eContact on the User and Supplier accounts; so all accounts will remain active and selectable o We plan on scrubbing out the invalid email addresses from ORPIN on Tuesday evening (10/22) after 5pm * ORPIN Patch Testing is Underway! o Slightly new features and security upgrades are included in an upcoming patch that will be installed in our Test environment on Monday (10/21) o We are trying to get this patch tested and rolled out to Production before the end of the year o Stay tuned for more information on this as it becomes available! * ORPIN Training Changes o The next scheduled ORPIN training will be taught by Kelly Stevens-Malnar at DAS East on November 13th o Seats are limited, so please have any folks who need help learning how to create documents sign up at: https://ilearn.oregon.gov/dl.aspx?id=Course.A107.0291 * OregonBuys Update (Brainstorm Questions for Project Q&A) o We have begun asking Suppliers and Agencies to get registered in the OregonBuys system o Agencies will need to register a Vendor account to facilitate ORS190's and they will have a separate Organization set up during their wave in the next phase of the roll-out o All agency personnel are invited to attend the OregonBuys forums at the Employment Department, with management approval o Additional information, including past forum materials and recordings, are available from the OregonBuys Project site at: https://oregonbuys.oregon.gov OregonBuys Questions from OAC's: 1. How do agencies post documents between ORPIN Replacement (when ORPIN goes Read-Only) and the Agency Waves that creates the Agency Organizations in OregonBuys? a. Recommendations will come as part of the ORPIN Replacement Plan that is currently being worked on. We hope to have more information regarding this question as early as the November 14th forum. 2. Can Agencies receive customizations to their OregonBuys Organization structure? a. Since this is a Software as a Service (SaaS), our ability to customize is fairly limited. We are focused on getting the best configurations determined for each agency and there may be some future modules that may be installed once Periscope finishes developing them. Connections to Agency Financial systems (like R*STARS and TEAMS) are possible and at least those two systems will be integrated in the Procure to Pay functionality. b. There are also Custom Columns in OregonBuys that will allow Agencies to track and report on variables that are specific to their agency. We will discuss this in depth leading up to preparation for the waves, as there is a lot of power (and pitfalls) in this feature. 3. Should OAC's be part of their Agency's Core Group for OregonBuys implementation? a. This is entirely up to your agency, but we think it would be a good idea! 4. Who should be the Organization Administrator (OA) for our Agency in OregonBuys? a. The current recommendation would be for your OA to be a Non-Procurement person (IT or HR) due to separation of duties. The OA will be responsible for setting up approval paths, users, and permissions, which makes it possible for them to bypass all of the normal safeguards if they also have the procurement training. b. We are working on an outline of everything an OA can do and other things to consider when selecting your OA. This will be posted on the Project site once it is complete and we will be sure to let people know once it is posted. Did you think of a question that hasn't been asked yet?
