OSPS E-News ~ FW: Employee Prior Pay Period Time Entry Lock

Good afternoon,

Department of Administrative Services (DAS) Workday Program in collaboration with Payroll Advisors and DAS Labor Relations, made the determination to lock time entry in prior pay periods for employees after each mid-month payroll processing (Run 2).
This action will limit the risk of potential over and under payments to employees due to incorrect time entry. Beginning Nov. 9, 2024 (after October Run 2 payroll processing is completed), employees will have limits for time entry corrections in prior pay periods. Prior pay period time entry corrections will need to be entered, submitted and approved by managers.

Please note the time entry lock dates below:

2024 Time Entry will be locked for employees as follows:

  *   After Oct. Run 2 (November 8, 2024) employee time entry locked for all pay periods through June 2024
  *   After Nov. Run 2 (December 9, 2024) employee time entry locked for all pay periods through November 2024
  *   After Dec. Run 2 (January 9, 2025) employee time entry locked for all pay periods through December 2024

Managers will be responsible for prior pay period time entry corrections for their employees after each mid-month payroll (run2). Please note when the manager submits time for an employee it is also approved. There will be additional communication going out next week to employees and managers on this topic.

The Workday Help Article below has steps on time entry on behalf of workers and is updated with a notice regarding the new time entry lock.

  *   Note: Time entry is locked for employees after each mid-month payroll processing. Time entry corrections for prior pay periods will need to be entered, submitted and approved by managers. Please work with your agency Payroll Partner if you need additional assistance with any prior pay period time entry corrections.
