OSPS News ~ Important Reminder: Retro Processing and Payroll Negative Clearing for 2025 Year-End

Dear Payroll Partners,

As we approach year-end processing, please review the following important reminders regarding retro entries and payroll negative clearing:

Retro Processing for 2025

  *   All retroactive entries for 2025 (both positive and negative) will be pulled into the November R2 payroll run to ensure proper year-end tax reporting.
  *   Do not enter any "Miscellaneous - Agency Clearing of Payroll Negatives" earning code for negatives appearing in the December 2025 open period.

Why This Matters

  *   The clearing input code will not pull into Nov R2, even though the retro entries will.
  *   If you use the Miscellaneous - Agency Clearing of Payroll Negatives code in the December payroll, it will result in an overpayment to the employee.
     *   This code places funds on the payroll to offset the negative.
     *   Since the negative will already be removed from December R1 and processed with November R2, the employee will receive duplicate funds.

After November R2
If a negative was cleared centrally and not recovered through payroll, you must take one of the following actions before 12/31/2025:

  1.  Submit a MARA to collect the full amount on the December R1 payroll.
  2.  Collect the amount directly from the employee by 12/31/25.
  3.  Open a Help Desk case to request an On Demand payment to post a gross-up for any portion of the negative that will not be collected in 2025.
