On behalf of Workday Admin,

Update Message Mar. 4, 2025:

DAS Workday has been in contact with OSGP and VOYA about the current contribution issue, see original message below for details. We are waiting for a timeline from OSGP's vendor, (VOYA) on a solution to resolve the issues.

DAS is currently working on a data comparison for all enrollments. We will be working with OSGP on possible differences and how to make these updates centrally.

Please continue to create help cases to have us make updates in Workday to match VOYA. Be sure to include the original enrollment date for the contributions that are in question. Also include any details that will help us get employees enrolled in the contributions as expected. If you are unsure of the enrollment information for the employee, please contact OSGP customer service. OSGP Participants can contact OSGP/Voya Representative at 800-365-8494 for assistance.

Original OSGP Contribution Issue notice sent Feb. 14, 2025

Good morning,

We recently noticed an increase in cases coming in regarding discrepancies between Oregon Savings Growth Program (OSGP) data and Workday data. We reached out to OSGP and had an initial meeting with them and their recordkeeper, VOYA, to see how we can help identify the source of the problem.

After that meeting, OSGP sent us a list of over 45 OSGP Participants that have contacted them about their contribution discrepancies. We are currently analyzing the transactions based on the data coming into Workday from OSGP via VOYA's recordkeeper system. Any findings and patterns we identify will be provided to OSGP and VOYA to review in their recordkeeper system.

Please note the following regarding how information comes into Workday for OSGP contributions:

  1. This is an integration where OSGP (via VOYA) is the system of record.

  1. VOYA compiles all changes made by OSGP Participants happening in the recordkeeping system between the 1st day of the month and the last day of the month, with a 4 p.m. EST cutoff. After the cutoff, VOYA creates a file for DAS that contains those OSGP Participants contribution changes. DAS has an integration that will process that file on the 16th of the following month which then updates Workday with the OSGP contribution changes before payroll is processed.

  * If any OSGP contribution changes will not process, those records are reviewed by DAS Workday Support team and if necessary, manual entries are completed centrally.

  * For example: January 31, 2025, all January activity is captured in VOYA's system, and a file is created:

  * This file is processed in Workday on February 16, 2025.
  * OSGP Participants will see these changes on their February 28, 2025, pay slip.

Unfortunately, the files Workday received from VOYA in recent months may not have reflected all OSGP contributions for some OSGP Participants and impacted the accuracy of Workday payroll deductions. We understand the importance of this issue and are working closely with OSGP and VOYA to resolve this quickly. We will provide an update when more information is available to share in the coming week.

Frequently Asked Questions:

What is the issue?
OSGP (Deferred compensation and Roth) contributions changes listed in VOYA's recordkeeping system for some OSGP Participants does not match payroll deductions in Workday.

How long has this been going on?
DAS reached out in January 2025 and OSGP informed DAS that mismatches started occurring in October 2024.

Do we know how many employees are impacted?
DAS was given a list of 45 OSGP Participants to investigate. Once a data comparison between VOYA and Workday is done, a full list of OSGP Participants identified that were impacted to determine a solution.

When will this be fixed?
DAS is currently working with OSGP and VOYA to resolve this as soon as possible.

What should I do if an OSGP Participant reaches out with an issue?
Verify their benefits in Workday, then create a Help Case and provide proof of the OSGP Participant contributions in VOYA's recordkeeping system.

Can these missed contributions be made retroactively?
No, OSGP does not have the capability to post retroactive contributions through their recordkeeper. However, an additional contribution could be made (see example below). OSGP and DAS recommend that you confirm the OSGP Participants contributions between VOYA recordkeeping system and Workday to ensure their contributions match moving forward. For any additional OSGP contribution changes, OSGP Participants can contact OSGP/Voya Representative at 800-365-8494 for assistance.

  * For example: Employee "John Smith" had a missed January contribution of $100. John reaches out to OSGP and confirms an additional contribution can be done. OSGP will message John's agency payroll to make an additional $100 contribution. Agency payroll would do a one time pay input in the current pay period (February) so that $200 is taken out on the next payslip (February 28, 2025).

What about the interest related to these missed contributions?
OSGP Participants can contact OSGP/Voya Representative at 800-365-8494 for assistance.
Thank you for your attention to this matter.

If you have any questions related to this message, and are not sure who to contact, please create a "Workday | General Help" case and the Workday Team will help you get your questions to the appropriate team.

Sincerely,

DAS Workday Support
