Colleagues,
As we prepare for the upcoming structural pay changes, including the transition to a biweekly pay schedule on July 1, 2027, we need your help to identify staff at each agency to serve in key readiness roles. These roles will work closely with the Workday Oregon team throughout the project to help ensure employees are informed and prepared for the change.
Using the attached handout as your guide, please identify one primary and one backup person from your agency for each role and complete the Readiness Roles Contact Information form<https://app.smartsheet.com/b/form/019ddfa44e6f7f69bd3d68b8798bc4dc> by Friday, May 22, 2026. For some agencies, individuals may serve in multiple readiness roles, and they should be listed for each role to ensure they receive all communications related to that role.
* Time commitment for this work may be up to five hours per month for each role through September 2027. Agencies may determine additional time commitment for readiness activities.
* We will host a kick-off event with the people you identify for these roles in July 2026.
A brief overview of the roles:
* Communication: Shares project updates and helps broaden the reach of project messages within your agency.
* Training: Coordinates training and ensures staff complete required learning.
* Payroll: This role only needs to be identified for agencies that don’t use DAS’ shared payroll services. This role guides employees and supervisors through payroll‑related changes.
* Human Resources: Supports HR‑related impacts and ensures alignment with policies and contracts, for example ensuring Fair Labor Standards Act (FLSA) overtime eligibility or work schedules are accurate in the system.
* Diversity Equity Inclusion and Belonging: Ensures agency-specific materials and activities are inclusive, accessible and equitable.
* Optional roles: Change management and process improvement for consultation as needed, based on agency availability.
