I wanted to make you aware of upcoming OSTX training. OSTX is ODE's student record access application that provides immediate access to enrolling student's data. Data is available for any school that is sending data through their Regional Data Warehouse Provider (RDWP) or school district. These providers or school districts are: Beaverton SD Cascade Technical Alliance Eugene/ Bend/ Springfield/ Eagle Point/ 3 Rivers/ Coos Bay consortium Hillsboro SD Linn-Benton-Lincoln ESD Medford SD Willamette ESD Enhancements have been made and are continuing to be made to ensure the OSTX application is easy to use, contains all of the data needed for enrolling students, and is beneficial to understanding how best to serve the student from the moment they decide to enroll. The training dates and locations are: October 18 Lane ESD 9 am to 12 N October 25 Willamette ESD 1 to 4 pm October 29 NW Regional ESD 1 to 4 pm November 1 InterMountain ESD 1 to 4 pm November 2 Columbia Gorge ESD 9 am to 12 N These trainings will be hands-on using ODE's OSTX training site and will provide participants with the following information: - An overview of OSTX, the 4 roles, and their related security - An understanding of the OSTX displays - Where to get support for OSTX - A review of your site's OSTX data and how to resolve discrepancies between OSTX and your student system data If there are staff in your district that would like training they can sign up by accessing the following registration link: http://www.planetreg.com/E11010573842 Additional workshops can be held if one of these doesn't fit your schedule. Steps to resolving differences between OSTX and your SIS 1. Check your SIS to see that the data is actually different than what is displayed in OSTX 2. If there is a difference, and you can check the Regional Data Warehouse (RDW) data, verify that the data in your SIS and the RDW match. If you do not have access to the RDW contact the school or district staff that does have access and ask them to check for you. 3. If the RDW data doesn't match there is a problem in the transfer from your SIS to the RDW. Contact district staff or your RDW provider following your school or district support process to review the problem. 4. If the RDW data does match there is a problem in the transfer from your RDW to ODE. Again, contact district staff or your RDW provider following your school or district support process to review the problem. 5. If your RDW provider determines that they are sending in the correct data but that it is missing from ODE's database then they can review ODE reports to determine why. a. If your data is different than it was when the RDW submitted it they will contact ODE to resolve the problem. ODE is committed to streamlining this process in the future to make it even easier to determine the problems related to a specific student. Certain problems that relate to the way the OSTX application works that you can call ODE's Helpdesk to resolve. Some examples, but not necessarily all of them are; you can't log on, tabs or screens don't appear, the hover doesn't work, or data appears on a student information screen but not on the student summary screen. URL: From joel.robe at state.or.us Mon Oct 22 11:08:40 2012 From: joel.robe at state.or.us (ROBE Joel) Date: Mon, 22 Oct 2012 11:08:40 -0700 Subject: [OSTXUsers] Approval of students that have withdrawn more than a year in the past Message-ID: I just wanted to let anyone who has the role of Approver that there are situations when you will be receiving a request to see a student that has withdrawn a year or two prior. First off you do have the right to reject any request that you feel isn't correct. To assist others though, I would suggest that, a student whose data you have that has withdrawn and gone to another school, may be the best data available for the new receiving school even if it is not the first school the student went to and where you sent the official student record. For example, a student may leave your school and go to a private school for a year, or part of a year, and then go to another public school in Oregon. Or a student may leave your school and move out-of-state. You often see the latter when a student is a migrant student. You have sent your records to the private or out of state school who has updated the data in their student information system but the data is not loaded into OSTX as the school is not affiliated with a regional data warehouse or a data center. The only records available may be the records from the time the student was in your school. This may be enough for the new school to know that the student was on an IEP, was in an LEP program, has their shots, and whether they need additional assistance. Again, as an Approver, you do have the right to reject a request, but you may want to provide the data so the school doesn't have to wait weeks to receive the data from the private or out-of-state school. Remember that OSTX is not the official record of the student. It is meant to help to enroll a student as quickly and accurately as possible. Thank you.
