Hello Gina,

Here in Sherwood, we use a web-based tool called Asana<http://www.asana.com/>. I have built a template programming checklist, which we copy and customize for individual programs. We have a separate area for wishlist programs. Everyone on a team can see all the various programs, which we have organized into seasons. Much like social media, you can comment, like, etc. You can assign sub-tasks to different people, with due dates, and get email reminders about the deadlines. I especially like that I can keep tabs on the details my team is responsible for all in one place.

I’m happy to share more details if you are interested.

Cheers,

Subject: [Libs-Or] Programming Management

We are exploring ways to manage our programming/events process, which has several steps from the proposal phase to post-program evaluation with multiple staff involved. We are hoping to find an automated way to submit and keep track of our programming.

Here are the basics areas we want to address:
• Initial proposal: how does the program relate to our service area, library mission statement, etc.
• Approval
• Logistics (time, date, loc, set up details)
• Staffing/Scheduling
• Funding
• Billing
• Promotion
• Evaluation: what worked and didn’t

What process does your library use to manage these areas? Any suggestions you have are much appreciated.
Thanks!

Best Regards,

Gina Bacon
