Administrative Specialist, Oregon Psilocybin Services (Administrative Support 2)

This is a full-time, permanent, classified position which is represented by a union.

The Oregon Health Authority (OHA), Public Health Division (PHD), Oregon Psilocybin Services (OPS)<https://www.oregon.gov/oha/PH/PREVENTIONWELLNESS/Pages/psilocybin-services-act.aspx> section in Portland, OR is recruiting for an Administrative Specialist to assist the section manager with section administration and coordination, which includes administrative support to the Oregon Psilocybin Services Advisory Board and its subcommittees.

While some of this work may be conducted remotely at an alternate worksite with full access to the needed operating systems and technology, much of this work will need to be conducted at the primary work location listed in this announcement, the Portland State Office Building located at 800 NE Oregon Street, Portland, OR 97232. Work location can be changed at any time at the discretion of the hiring manager.

What will you do?
As an Administrative Specialist, you will schedule meetings, prepare agendas and meeting minutes. You will assist with contracts, invoice processing, billing, and facilitation of materials for section operations and provide support with personnel management, travel arrangements and reimbursements, and payroll. You will provide web editing for the section's website and ensure the coordination of internal or collaborative projects and program initiatives. In addition, this position will demonstrate the ability to perform job duties as assigned with a health equity lens; identify complex, challenging, or unique internal and service delivery problems and issues; interpret Oregon Revised Statutes (ORS), Oregon Administrative Rules (OAR), and Oregon Psilocybin Services (OPS) policies; and communicate across agencies and the public.

What are we looking for?
Minimum Requirements
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations;
OR
An equivalent combination of training and experience. (NOTE: One year of postsecondary education may be substituted for up to one year of the experience.)

  *   Experience applying and accurately explaining laws, rules, policies, and procedures, specifically relating to public meetings and public records.
  *   Intermediate proficiency in Word, Excel, Outlook, Teams, PowerPoint, Visio, and the Internet.
  *   Experience promoting health equity, addressing systemic health disparities, and collaborating with diverse, vulnerable, and underrepresented populations.
