Tech-Talk: WEB AUTHORING - Use Google Calendar to Display Events
Advanced
[Google calendar]
The other day I was viewing a calendar of events on a school website and realized I could click on any of them for all the details, plus put it on my own calendar ... in one click. Wow! That really made it easy for me to quickly add the item to my schedule.
I could do that because the website had a Google calendar integrated into their web page. They did that with all of the upcoming events and programs for each department and grade levels.
You can do this too!
How Can You Use This Technique?
You may want to add these types of events to a web page for your organization, club or team.
· Upcoming webinar series
· School play or production
· Assembly or award ceremony
· Guest speaker
· Training courses
· Employee orientations
· Computer classes
[Google calendar]
This Google Calendar app is free.
· It promotes what you are doing for the public to see.
· It lets visitors register for your events.
· It allows visitors to post your event to either their Google or Outlook calendars.
Google Calendar Website Integration
Here's how it works...
· You (or your organization), set up a free Google calendar.
· There could be one or several people with admin privileges to manage it.
· Events are added to that calendar showing the date, time, location, etc….
· The calendar event is designated "Public" (not private).
· A bit of code is added to your website.
Once you have done this, all you have to do is to put an event on your calendar and it will also appear on your website. NOTE: Only events you designate as public will show.
Add Events to Your Calendar
To add an event to your Google calendar to display on your website:
1. Create a new Google calendar which will have the public events. TIP: It's best not to add them to your personal one.
2. Add the event name, date, time duration, etc… TIP: Make sure the title is very descriptive for the viewer. The first few words show in the calendar display before the viewer clicks to see more -- so think strategically about what words would be helpful.
3. Write a full description in the details section if needed.
4. Enter a registration link if applicable.
5. Make sure the visibility is set to Public so that it will show on the website.
6. Save your event.
[Google calendar]
Now Make Your Calendar Public
You will need to change the overall Access Permissions on your calendar to Public for events to display. This only needs to be done ONCE.
· Log into the designated Google Calendar for your website.
· In top right, click on the Settings icon (it looks like a gear) and choose Settings.
· In the left side of the screen, click the name of the calendar you want to make public (there may be more than one calendar listed).
· Scroll down to the "Access permissions" section and check the box to "Make available to public."
[make public]
Embed the Calendar on Your Website
When you have events ready, you can embed the Google calendar on your website ... so the public items will display.
NOTE: You only need to do this one time. All future events will appear.
· Log into the designated Google Calendar for your website.
· In the top right, click on the Settings icon (it looks like a gear) and choose Settings.
· In the left side of the screen, click the name of the calendar you want to embed (there may be more than one).
· Scroll down to the "Integrate calendar" section, highlight the embed code displayed.
[customize your calendar]
· To make changes to the look of the calendar, under the embed code, click Customize.
· Select what items to show, the default view, size, etc...
· Once your customizations are complete, click the Update HTML button and copy the code to the back end of your website.
Another Choice ... Use a Button for a Single Event
Let's say you have a web page for promoting a single event. You have the description and registration.
You just want a "Google Calendar" button for the visitor to click on ... to make the date appear on their own Google calendar.
[button]
You can put a small bit of code for a button on just that web page so that visitors can add this event to their calendar with one click.
· Go to the event you created in your public Google calendar.
· Edit the event, and in the upper right of the screen click on the More actions drop-down button and select Publish event.
[publish event]
· Copy the HTML embed code and paste in on the back end of your website page.
· There's also an option to create a link instead of a button.

Communicating: Talking
"Tell me about that."
One of the most effective phrases I use more and more is one which really opens up a conversation ... and reveals insight into the core issue. It's simple and can be used in many different situations.
The phrase is, "Tell me about that."
A variation is, "Tell me more."
Here are a few ideas to get you started thinking how you can use these.
· Someone makes a comment that confuses you.
· You're at a loss for words, but need to say something.
· You don't fully comprehend and need more information.
· You hear something that will require sensitivity on your part; you need time.
· You want to be careful how you respond; you'd like more understanding.
