EMAIL - Get Rid of "Ghost" Email Addresses
Novice

[wrong email address]

Does this sound familiar? My friend's email address changed! I updated it in my files. Later, when I went to send her an email, the old address kept popping up.

Why did this happen?

In my contacts list, it clearly shows the new address.

And what's worse, I may not notice it's old and accidentally use it.

Here's another weird thing you may have experienced: you started typing the first few letters of an email ... and addresses populate that you do not recognize! You hadn't added them to your contact list ... they aren't listed there.

How can you get rid of these "ghost" email addresses if you can't even find them?

In Outlook it's pretty easy to get rid of an erroneous or outdated email address<http://r20.rs6.net/tn.jsp?f=001kMmr2oinRXxrSpsaVPDhWB7skUste2nLznxWG3FlkncwJg80889p5wvIKyvQa8mhy8NnkVfm5Fnk3iOBqgQsKBfq_bB4Q6CihdQUaO8Km0_82kSzgBrk1sEq4ncWaxGZAJdxs5wG3PwjBxaj01iiXom1H5N71S4mz3ElgckIYnNJWFe1__2x6IbanJOgO191saUnG3mI2brpeiQheS_YPHiHJuDVnSM7&c=tZB_8DLblnxATOciNxCJzXOABqqvZ3khnBSWVeR25V4oQwMhrC07QA==&ch=oWSsfyErjFB0FbrA-iw6L8NgyR95svJnMZ7rwUqtndHcGIPmawZe4g==>. (Click on the link to find the answer in a previous article.) But in Gmail, it's a bit more challenging -- unless you know what Contact folder to look in!

Find and Delete “Hidden” Google Contacts

[Other contacts]

When you're working in Gmail (or Google Apps), the email addresses you use are stored in your Google Contacts account.

When you look at your Contacts, you'll see a list of folders on the left with titles such as Contacts, Frequently Contacted, etc… (These are the default folders which have been provided for you by Google.)

Below that is a section of Folders (which are actually called Labels) that you have created to separate contacts into groups for easy access. You could have them organized with names like Colleagues, Family, Friends, and so on. NOTE: these folders don't contain ALL of your Google contacts!

Here's the answer to find "hidden" contacts…

Now... you would think that ALL of your contact records would be in the folder called Contacts. Makes sense, right?

But way down lower in the left column is another folder called Other Contacts. You may have to scroll down the page to even notice that it's there. In this Folder you'll see a list of all your "other" contacts ... people you haven't intentionally added to your Contact list.

Just why are these email addresses in the Other Contacts folder?

· They could be a person to whom you sent a message just once… and hadn't added them to your Contact records.
· Some may be from the (now defunct) Google+ connections.
· Or they could have been in a list that was imported into your Google account, and removed from one of the other folders, but still remain in this one.

So when you're looking to delete or edit an email address -- and you can't find it in the main folders, go to Other Contacts. Most likely you'll find the email address there.

How Can You Stop Google from Adding ALL Email Addresses to Your Contact Records?

If you want more control of what email addresses Google adds to your Other Contacts folder, you can make a simple settings change.

There is a default Gmail setting that automatically is set to: When I send a message to a new person, add them to Other contacts so that I can auto-complete to them next time. You can change it.

[change settings]

To turn this OFF, in your Gmail account (NOT in Contacts):

· Go to the gear icon at the top right and choose Settings.
· In the General tab, go down to Create contacts for auto-complete.
· Toggle it to I'll add contacts myself.
· Save.

Communication: Grammar
Switch "favorite" to "one ..."

Last night I went out to dinner with an older couple. This outing was to celebrate Father's Day because their grown kids were not in town.

Being one who likes to keep the conversation going, I started to ask, "What is your favorite thing about being a father?"

Then I remembered, it is a difficult question to answer. Any time you ask for the "favorite"-- people's brains stall. They struggle to get an answer.

It's better to say, "What is one thing you like about being a father?" Boy, did he open up on that one!

So how can you use this technique to clarify a situation? Someone's explaining a problem or project, and you're not getting the gist of it, or you're left with muddy thinking, you could say something like, "What is one thing you want to get out of this?" or "What is one of the most important points here?"

What about resolving conflict? "What is one of the biggest issues you have?" or "What is one thing that could be done to remedy the situation?"

"What is one -- ?" is a powerful phrase... and guaranteed to lead you to true insight.
