EMAIL - A New, No-Cost Outlook in Windows

Have you heard about the launch of the "New Outlook" email platform from Microsoft for Windows and wondered if you should make the switch?
It's meant to be a lighter and more streamlined version of the "Classic" desktop Outlook, so why would you want to make a change?
The email platform you choose should be comfortable for you and how you like to work. For example, you might want a program with many bells and whistles that include options like templates and Inbox rules. Or you may be more productive using a clean layout with just the basics to manage your Inbox.
Different Types of Outlook
First, there are several different kinds of Outlook accounts, and it can get confusing talking about this program generically. Let's clarify the different types so that you know which one you're using.
Outlook.com (WEB)
· Free, web-based Outlook email account (similar to Gmail), with "Outlook.com" at the end.
· This is not software on your computer, but viewed when logged in online.
· You can link multiple email accounts to this one (home, business, etc.).

Classic Outlook (DESKTOP)
· This "fully featured" software is included with many of the Microsoft 365 paid subscriptions.
· This version supports a wide range of email protocols, such as POP3, IMAP, and Exchange, and can work with various types of email accounts, such as Microsoft, Gmail, Yahoo, iCloud, and others.
· To easily distinguish between the Classic and the "new" version, when you open the platform in Classic it shows a File tab at the top left.

The New Outlook (DESKTOP)
· When you open the New platform you'll see Home, View and Help in the navigation (NOT File).
· This desktop version is free with your Windows operating system. You do not need a paid Microsoft subscription to get this.
· The New Outlook is a replacement for the prior Windows Mail/People/Calendar apps.
· It comes installed on newer Windows 11 devices. It can be installed on Windows 10 and older Windows 11 operating systems.

How to Switch to the New Outlook
There are a few different ways to start using this platform, whether you already use the Classic version, or you're new to Outlook.

Depending on what version of the Classic Outlook you're using, you may see a "Try the new Outlook" toggle option in the upper right of your screen. This is where you can switch to the new version to try it out. Don't like it? Just toggle back to the Classic.
NOTE: If you don't see the toggle, you're either using Outlook 365 or an Outlook version that is not supported yet.

You can create a new email address, or link your old one to it.
Don't worry! If you like the version you're using, the "New" Outlook won't replace the Classic version that is included in the Office package.

What's "New" in the New Outlook
Overall, this updated version has a streamlined and simplified interface that offers cross-platform compatibility with other Microsoft apps.
· Not only is the New Outlook your email and calendar app, but through the updated navigation on the left side of the Home screen, you can quickly access Contacts, and other Microsoft 365 apps like Word, Excel, OneNote, Teams, OneDrive, and more (see the image to the right).
· It can be paired with the iOS and Android mobile apps so you can access your email when you're on the go.
New or Updated Features
These new and enhanced options help to keep you focused on your work, not searching for emails hidden in an overflowing Inbox.

Pin Email
If you don't want to lose sight of an email that's important, from your Inbox now you can simply click on the Pin icon (or right-click on an email message and choose Pin). The email will appear at the top of your Inbox, so it is front and center.
Snooze Email
Say you have a task you need to do on Thursday, or notes in an email for a meeting on Friday -- instead of leaving them in your Inbox all week, with the Snooze option, quickly schedule a time for the email to be re-delivered to your Inbox. From your Inbox, right-click any message and choose Snooze then select a date and time.

My Day View
You don't need to switch to the Calendar app to get a quick look at what's on your schedule for the day. Just click the My Day icon in the top ribbon and a panel will open on the right side so that you can see the items on your calendar.

Again, if you try the new version and don't like it, you can use the toggle in the upper right of your Outlook screen to go back to the Classic.

Communication: 6 Listening Skills
#3: "Repeat what you hear"
Nothing says listening like hearing someone repeat something of what you said ... not as a question, but as a clarifying, validating statement.
Example:
Statement: "It takes time to write a book really well."
Listening Repeat: "It takes time."
You can see that just repeating a portion of what was said shows you got the point. You were listening!
Statement: "This project is very difficult for the team."
Listening Repeat: "It's difficult."
You use this "exact repeat" technique when the speaker has a lot to say and you want to periodically insert some words that tell them: "I'm still listening." "I get what you're saying."
You don't want to interrupt the flow of what is being said, but you do wish to indicate that you're listening intently and getting the key thoughts of what they are saying.
