Overview of Payment Elections Security Update:
Payment Elections: Update for Payroll Partner Security on Payment Elections
We’ve added an additional layer of security to the “Payment Elections” screen to help protect the “Accounts” and “Payment Elections” sections when employees update account information.
After evaluation of supporting business processes, like the travel reimbursement, it was determined that Payroll Partners require the security to be able to view and edit the full account number in “Payment Elections” on behalf of employees. Payroll Partners will now have the prior security they once had to view and edit account information on behalf of employees. This update to payroll partner security has no impact on the additional security in place for employees. As of Nov. 14, 2025, Agency Payroll Partner security role will have the ability to view and modify payment elections when necessary. Below is an updated version of the communication sent to CHRO and OSPS contact lists October 28, 2025.
What this Means for You (Payroll Partner)


  *   Elevated Security Roles in Workday are not affected. Payroll Partner Security roles have been updated to full visibility and edit capabilities without the verification prompt. ·       The process for updating on behalf of employees has not changed. This process continues to require the employee to complete the State of Oregon Employee Direct<https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.25.pdf> Deposit Form<https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.25.pdf> prior to the payroll partner editing banking information on behalf of employee.

     *   Please Note: Refer to your agency’s internal policy on Payment Election (Direct Deposit) on Behalf of Employee.
  *   Payment Election (Direct Deposit) Help Article has been updated with details about this change.
·       If you receive a Workday help case from an employee who is locked out, you need to submit a Workday help case to Workday | General Help for the Payment Election task to be unlocked.

  *   When you receive form SFMS ACH-1 (State of Oregon Direct Deposit Authorization Form) you will be able to validate Section C (Financial Institution Information) using the employee’s payment elections within Workday.
     *   After validation you will be marking the box to certify the information and then submit the form electronically to box.com<https://oregondasit.app.box.com/f/1121d263c50c4540942f5be8ae716cb4>.
What’s Changing (for employees only)
When employees edit their “Payment Elections” in Workday, they will now be asked to verify their identity by entering their full account number.

How Does it Work?

On the “Payment Elections” screen:

  *   Accounts Section: When an employee clicks “Edit” they will be prompted to enter the full account number for the accounts they want to change.
  *   Payment Elections Section: Employees will be prompted to enter a full account number to access payment elections.

     *   If there are multiple accounts set up in Payment Elections, employees will want to be prepared to enter any of the full account numbers on file.

  *   Employees have six (6) attempts to enter account information correctly. After six failed attempts, they will be locked out of the task.

     *   To regain access, employees will need to submit a Workday help case (or follow their agency’s internal policy). Agency case solvers will coordinate regaining access to payment elections when an employee is locked out.

  *   When an employee is locked out of editing payment elections, they will submit a Workday help case to their internal case solving team or reach out to their agency payroll office.

     *   For employees that are locked out, they can also complete the State of Oregon Direct Deposit Form<https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.25.pdf> and submit that to their payroll office who can make changes on their behalf. In this process, the account will be unlocked by the payroll partner.

  *   The agency will create a Help Case to Workday | General Help and include the employee OR# in the request to have the account reviewed and unlocked.
This change supports our commitment to safeguarding sensitive data while maintaining efficient payroll operations.
