Greetings,
We've identified an issue that potentially impacted 944 employees due to Workday system changes implemented on December 23. This issue affected the December Run 1 paid January 2 payroll.
Impacted employees may not have received their full pay for hours approved for December.
What we are doing to fix this
Our team is actively working to ensure employees get paid promptly. We are working to process a supplemental payment for employees January 2 to ensure employees receive any missing December wages impacted by this issue.
What you need to do
Hourly employees
* Of the 46 hourly employees affected by this issue, 21 employees are receiving a supplemental payment, 16 employees were not issued supplemental payments and no further action is needed, and 9 employees need further action.
* Agency payroll managers with affected hourly employees received a list of these employees and instructions on what actions to take.
* The supplemental payment will not impact hourly employees January 15 check for any remaining December hours.
Salary employees
* Of the 898 salary employees affected by this issue, 874 were issued supplemental payments today and 24 employees need further action and follow-up. Of the 874 employees issued supplemental payments, 142 were issued a $0 supplemental payment.
* Payroll partners can view a list of impacted salary employees on the report titled FLSA OT impacted population with email addresses in Workday Drive at Drive>Payroll Resources>Reports.
* Workday Admin will systematically approve all December time and run an off-cycle payment January 2 for any unpaid December hours.
* This process includes:
o Canceling retro for the enterprise.
o Running retro pay calculation for impacted employees.
o Issuing payments on January 2.
* At 7:00 p.m. Friday, retro will recalculate for all other employees. When you return on Jan 5, remaining results will be back in In Progress status for Run 2.
* Salary employees' time entered prior to January 1 will be paid on this supplemental payment and unless the employee needs to make changes to their December hours after January 1, they will not receive a January 15 paycheck because all December hours will have already been paid.
* If salary employees make any changes to their December hours after January 1, they must notify their manager and payroll office to ensure they get paid for those hours on January 15.
* Once notified, if additional wages are owed to salary employees, payroll offices should follow the normal Daily Check Log process.
* If salary employees do not notify their manager and payroll office, then they will be paid for any additional hours entered after January 1 for December on the February 13 paycheck.
What you need to know
* If a payroll office requested an off-cycle payment on the Daily Check Spreadsheet to address this issue for an employee, the Workday Admin team will address this, and the employee will not get paid twice. The payroll office does not need to take any further action regarding the request.

The December 23 system change implemented in Workday was a one-time change related to complying with federal tax law changes for 2026 and we do not expect any further pay issues to occur from it.
