Good morning,

Do you know if your employee name and SSN match? 

I'd like to remind you of two resources available through the federal government for SSN matching/verification , SSNVS & E-Verify.


SSNVS -

Both products are free to employers.

SSNVS (Social Security Number Verification Service) - is a product of the Social Security Administration, allowing employers to match their records of current and former employee names and SSNs with Social Security records before preparing and submitting Forms W-2. 

While the service is available to all employers and third-party submitters, it can only be used to verify current and former employees and only for wage reporting (Form W-2) purposes. 

With this system it is possible to verify up to 10 names and SSNs online and receive immediate results. You can get overnight results on up to 250,000 records.

If the name and SSN do not match, SSNVS provides you with a sample letter to give to your employee. 

E-Verify - is a product available through the Department of Homeland Security (DHS) and determines employment eligibility of new hires and the validity of their Social Security Numbers through the comparison of I-9 information to the SSA's database and DHS' immigration databases. 

Restrictions are greater with the use of E-Verify to SSNVS. If you decide to use E-Verify, keep in mind it is to be used only for new hires and if used for one it must be used for all new hires.

AccuWage - There is one more product available through the SSA called AccuWage. It's free and allows you to check W-2 and W-2c reports for correctness before you send them to Social Security. For more information please go to http://www.ssa.gov/employer/accuwage/.
