[Answerland-summit] FW: Lane Community College Visit

Hi all,



Below are my notes from Sue's and my site visit to the Center for Meeting at Learning at LCC on Friday.

I've attached a photo of the front lobby and registration desk. I've also attached a map that we will want to include on all of our communications. It's very easy to get turned around if one doesn't follow the map directions precisely. Heh. Heh.



Sue, please feel free to add anything I'm forgetting. I've also added the map and the notes to the Google Drive Venue folder.





Registration place near entrance

                Yes, large desk at front entrance that can be used for registration

                Also, a large digital screen about registration guest that we have info on



Technology

                1 free mic per room, $75 for extra mics

                Wi fi will be available, will ask if we can get code ahead of time to add to program





Parking lot, direction signage, bus stop

                Bus Stop is directly outside The Center, as are parking lots. We can put signage outside if we want.



Wild turkeys

                They hang out on the other side of campus, should not be an issue :-)



Vendor table space

                Tables are $25 each, include linens. Can fit 4 or 5 in lobby.



Library computer lab for a potential session.

                There is a computer lab with 32 machines in the library, a short walk away that will likely be possible to use. Sue has been in contact with librarians and will follow up on this.



Catering

                Food will be a double sided buffet line in the lobby, and folks can take it into large room 104 to eat. Coffee and tea set up will be in room 104 all day.

Prices on invoice were not added properly, all day coffee service and the chicken add on for lunch were added as only 1 person, not 90. Will be in increase of about $500.

                The final count for the caterers is due by May 22, so may have to cut off registration on May 20th or so.

We have the option to pull the cookies from lunch and have them brought out for a late afternoon break if we would like.



Accessibility

                All rooms and restrooms on are the first floor. No stairs.



Water fountains

                Yes. With bottle fill spout.



When can we arrive?

                7:30am, 4:30 pm exit



Room signage provided?

                8 ½ by 11" sign holders outside rooms



Sandwich board

                None provided, but we can bring





Room 104 is our large room where everyone can gather at once. We will have a podium, a speaker table, a projector and speakers, and one hand held mic.

The room will be set up with crescent rounds that can have 6 to 8 chairs on them.

The coffee/tea set up will be in the back of this room



Room 105 is the smaller room we have reserved. It can fit up to 40 people if we have it set up classroom style.



Room 106 is the same size, and it's the one we have on hold ($130)



Room 105 and 106 would both include a speaker table and a projector. The rooms are small enough that a mic is not necessary.
