[OEBB_alltopic] Towers Watson apology letter

Dear Benefits Administrator:

 

On February 7, Towers Watson provided OEBB with a list of OEBB members
who had been selected for the DEV Audit and had not yet submitted any
documentation. OEBB then sent a notification that we were extending the
deadline to February 24 along with a reminder to submit documentation to
each of those members, via e-mail if an address was available and via
USPS mail to those without an e-mail address in our system.  We
understand many of you also sent reminders to those employees identified
as "non-responders" on that date. 

 

OEBB soon began hearing from you and your members that a number of
people on this list had in fact submitted documentation that was not
appearing in the Dependent Verification system. Towers Watson researched
the situation and discovered a computer error had occurred, which they
immediately took measures to correct as well as conducting a thorough
search to identify if it had happened more than once.

 

After a complete review of their system, they did discover the same
error had occurred a second time. They have assured us that all errors
have been identified and corrected and steps have been taken to prevent
it from happening again. A list of the affected members from your entity
will be uploaded to your document management area in MyOEBB as soon as
possible and you will be notified by e-mail when it is available.

 

Attached is an apology letter from Towers Watson to the affected members
explaining what happened. They mailed this letter to each affected
member on February 16 and asked that we share the letter with you as
well. We and Towers Watson understand that this error caused concern and
inconvenience for you as well as the members you serve. Although we all
understand technological issues occasionally happen, it is most
unfortunate when they create such confusion and distrust.  Please know
that Towers Watson has assured us that they took all the necessary steps
to ensure documents were safeguarded and no security protocols were
compromised.  

 

We truly appreciate your partnership in this audit effort and all you do
to help us communicate with members. Please read the attached letter
knowing that although it was mailed to the affected members, it is
intended as an apology to you as well.
