Overview of Payment Elections Security Update:
Subject: Payment Elections: New Security Step to View or Update Bank Account Info in Workday.
We've added an additional layer of security to the "Payment Elections" screen to help protect the personal financial information under the "Accounts" and "Payment Elections" sections when updating information.
Elevated security roles can still modify accounts on behalf of employees; however, they will now only see the last four (4) digits of an account number located in "Payment Elections".
What's Changing (for employees only)
When employees edit their "Payment Elections" in Workday, they will now be asked to verify their identity by entering their full account number.
How Does it Work?
On the "Payment Elections" screen:

  *   Accounts Section: When an employee clicks "Edit" they will be prompted to enter the full account number for the accounts they want to change.
  *   Payment Elections Section: Employees will be prompted to enter a full account number to access payment elections.
     *   If there are multiple accounts set up in Payment Elections, employees will want to be prepared to enter any of the full account numbers on file.
  *   Employees have six (6) attempts to enter account information correctly. After six failed attempts, they will be locked out of the task.
     *   To regain access, employees will need to submit a Workday help case (or follow their agency's internal policy). Agency case solvers will coordinate regaining access to payment elections when an employee is locked out.

  *   When an employee is locked out of editing payment elections, they will submit a Workday help case to their internal case solving team or reach out to their agency payroll office.
     *   For employees that are locked out, they can also complete the State of Oregon Direct Deposit Form<https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.25.pdf> and submit that to their payroll office who can make changes on their behalf. In this process, the account will be unlocked by the payroll partner.

  *   The agency will create a Help Case to Workday | General Help and include the employee OR# in the request to have the account reviewed and unlocked.
Please Note: Refer to your agency's internal policy on Payment Election (Direct Deposit) on Behalf of Employee.
What this Means for You?

  *   Account numbers will display the last 4 digits only for all security roles. Payroll Partner security roles will continue to have edit capabilities without the verification prompt and accounts will be masked to display the last 4 digits for all security roles.

     *   Payment Election (Direct Deposit) on Behalf of Employee. This process continues to require the employee to complete the State of Oregon Employee Direct Deposit Form<https://www.oregon.gov/das/Financial/Payroll/Documents/OSPS.99.25.pdf> prior to the payroll partner editing account information on behalf of employee.
  *   Payment Election (Direct Deposit) Help Article is updated with account verification steps.
  *   This change supports our commitment to safeguarding sensitive data while maintaining efficient payroll operations.
  *   The PDF attachment is communication that will be posted in Workday Announcements tomorrow (Oct. 29, 2025) for all employees and will be moved to production on Thursday, (Oct. 30, 2025).
